Terms and Conditions
I. Attendee Cancellation Policy
Registration fees for HHIA in-person events will be refunded upon written notice received at least 72 hours prior to the event start time. Cancellation requests must be submitted in writing to contactus@hawaiihia.org.
Cancellations received with less than 72 hours notice will not be eligible for a refund. Substitution of a registered attendee is permitted at no additional charge, provided HHIA is notified in writing prior to the event.
For webinars and on-demand courses including those purchased through Payhip: due to the digital nature of these offerings, all sales are final and non-refundable once access has been granted. Refund requests for technical access failures must be submitted within 48 hours of purchase to contactus@hawaiihia.org and will be reviewed on a case-by-case basis by HHIA.
II. Exhibitor Cancellation Policy
An exhibitor may cancel or withdraw from an HHIA event subject to the following conditions:
The exhibitor shall immediately file a written notice of intention to cancel or withdraw with HHIA at contactus@hawaiihia.org.
If written notice is received 30 days or more prior to the event, HHIA shall retain a sum equal to fifty percent (50%) of the total cost of the exhibit registration.
No refunds shall be made on cancellations received less than 30 days in advance of the event.
Any exhibitor failing to occupy their reserved space by the initial opening of the exhibit area shall forfeit that space, and HHIA shall have the right to use said space as desired without obligation of refund.
III. Insufficient Check Funds Policy
In cases where a payment by check is returned due to insufficient funds, the registrant will be responsible for paying all returned bank service charges in addition to the original registration amount. HHIA reserves the right to require future payments from the registrant to be made by credit card or money order only.
IV. Online Payment/Credit Card Terms and Conditions
In-Person Events (TicketLeap):
By completing registration and payment through TicketLeap for HHIA in-person events, you are authorizing a transaction processed through TicketLeap's secure payment platform. TicketLeap or HHIA may appear on your credit card or bank statement depending on your payment method. TicketLeap's standard service fee applies per ticket and is displayed at checkout prior to purchase confirmation.
Webinars and On-Demand Courses (Payhip):
By completing a purchase through Payhip for HHIA webinars or on-demand course content, you are authorizing a transaction processed through Payhip's secure platform. Payhip or HHIA may appear on your payment statement. Payhip's applicable transaction fee is reflected in the final price shown at checkout.
If you do not wish to pay online, you may contact HHIA directly at contactus@hawaiihia.org to arrange an alternative payment method. Offline payment arrangements must be confirmed by HHIA prior to the event or access being granted.
If a credit card charge is disputed and, after investigation, is determined to be a valid charge evidenced by a transaction receipt, the registrant will be responsible for any applicable credit card dispute fee of $25.00, in addition to the original charge.
V. Authority to Register and/or to Act as Agent
You represent and warrant to HHIA that you have full legal authority to complete this registration or purchase, including full authority to make use of the credit or debit card to which fees will be charged. In addition, if you are registering or purchasing on behalf of third parties, you represent and warrant that you have been duly authorized to act as agent on behalf of such parties. By proceeding with registration or purchase, you agree that the terms of this agreement shall apply equally to you and to any third parties for whom you are acting as agent.
VI. Limitation of Liability; Disclaimer of Warranties
HHIA shall not be liable for any direct, indirect, incidental, special, or consequential damages resulting from: (a) your participation in or inability to participate in any HHIA event, webinar, or on-demand course; (b) the cost of procurement of substitute goods or services; (c) any goods, services, or transactions entered into through TicketLeap or Payhip in connection with HHIA offerings; or (d) unauthorized access to or alteration of your registration data or personal information, including but not limited to damages for loss of profits, use, data, or other intangibles, even if HHIA has been advised of the possibility of such damages.
You expressly agree that your use of TicketLeap and/or Payhip in connection with HHIA events and courses is at your sole risk. HHIA makes no warranty that third-party platform services will be uninterrupted, secure, or error-free. HHIA is not responsible for errors or omissions arising from the use of TicketLeap or Payhip, or for results obtained from use of information provided through those platforms.
Any material or digital content downloaded or otherwise obtained through TicketLeap or Payhip in connection with an HHIA purchase is obtained at your own discretion and risk. You will be solely responsible for any damage to your computer system or loss of data resulting from such downloads.
VII. Indemnification
You agree to indemnify and hold HHIA and its officers, directors, and volunteers harmless from any claim or demand, including reasonable attorneys’ fees, made by any third party due to or arising out of your use of TicketLeap or Payhip in connection with HHIA events or courses, your participation in any HHIA event or program, or the violation of any term of these Terms and Conditions.
VIII. Continuing Education Units (CEUs)
CEU credits, where applicable, are awarded upon completion of the educational session and submission of any required evaluation or self-assessment. HHIA is responsible for issuing CE certificates to qualifying attendees or course completers. CEU credit is granted in accordance with AHIMA and applicable HHIA continuing education policies.
For on-demand courses purchased through Payhip, CEU credit is contingent upon full completion of the course content and any associated evaluation. Access to course materials does not constitute completion. Questions regarding CEU credits or certificates should be directed to HHIA at contactus@hawaiihia.org. HHIA does not guarantee CEU credit eligibility for all registrants; eligibility is subject to AHIMA credential requirements.
IX. Privacy and Data Use
Registration and purchase information collected through TicketLeap and Payhip is used solely for the purposes of event administration, CEU record-keeping, and HHIA member communications. HHIA does not sell or share your personal information with third parties outside of what is required to process your registration or purchase through the applicable platform.
By registering or purchasing, you consent to receive HHIA communications related to your registration, including event updates, reminders, and post-event follow-up. You may opt out of general HHIA marketing communications at any time by contacting contactus@hawaiihia.org or using the unsubscribe option in any HHIA email communication.
